Call Outs/Running Late

Body of Email: Be as detailed as possible regarding the attendance issue. (I.e., if running late, when do you expect to arrive? If you have to leave early, include the time you need to leave.) Specific details as to the reason are NOT necessary

Missed Punches

Always check your timesheet in Kronos or Time Clock Wizard at the end of every week. Send a Spark message to the Floor Supervisor on duty if you see a discrepancy with your time. 

If you notice a mistake with your timesheet while off the clock, you can send an email to the supervisor distribution. 

You can also just wait until your next shift and Spark the Floor Supervisor as long as your next shift is still within the same pay period.

System Issues/Errors (IQware, Via, CRM, Agent Portal, etc)

Subject line: Brief description of the error

Body of Email: Include screenshots/snips and be as detailed as possible. The more details you include, the easier it will be to figure out the problem. Include the date and time of the error in the email if it's not in the snip (bottom right of the screen)

Here are a few examples of errors: 

Leads not populating
Error message when processing a reservation
Rates not populating (after checking inventory, max occupancy, and minimums) 

Use the Snipping Tool that is located on your desktop. Click on New and then select Full-screen Snip. This will take a screenshot and copy the image. Paste the image into your email. 

Schedule/Time Off Requests

Body of Email: Include the day and date(s) of your requests. All requests for the same month may be included in the same email. Be sure to specify if you want to use PTO/Holiday Pay. 

The schedule email is NOT to be used for schedule preferences. 

Note: Schedule requests MUST be submitted no later than NOON on Sunday for the upcoming schedule. Late requests will not be honored, and you will have to find someone to swap with if scheduled. 

We do NOT accept requests for extended time off in June, July or August. We also do not accept requests for holidays or special events. 

Note about PTO/Holiday Pay: Submit PTO/Holiday Pay in Kronos as soon as your schedule request is approved via email. PTO/Holiday Pay will not be paid in excess of 40 total hours in a week and will be adjusted down if necessary. 

PTO/Holiday Pay may not be approved in Kronos until the end of the applicable pay period. Please do not email asking about pending PTO/Holiday Pay requests in Kronos if you have gotten an email approval unless the applicable pay period has already ended. 

PTO/Holiday Pay Requests

This should be used if you wish to use PTO/Holiday Pay in the current pay period to make up time for hours missed due to a call-out, standby, or seasonal schedule cutbacks. You should submit the request for PTO/Holiday Pay in Kronos before sending the email so it will already be in Kronos to approve or deny.

Body of Email: Include the dates and number of hours that were submitted in Kronos, and be sure to specify if you are using PTO or Holiday Pay. All requests for the same pay period may be included in the same email.

Submitting Holiday/PTO

Being a direct hire full-time employee, you will receive paid time off.

 

Click on "My Time" from the Kronos Home Page 

 

Then click "Time Off Request."

 

(You can also click on the three lines on the top left and click on "My Time" from there, then "Time Off" and "Request").

 

Click the Time Off Type you want to use (Holiday/PTO).

 

Once Holiday/PTO is selected, click the appropriate date on the calendar that you want to use your PTO/Holiday and click "Start Request." 

 

You will then be prompted to choose the request type; the options are (Full Day, Multiple Days, Partial Day-Bulk & Partial Day-Start/Stop).

 

No comment is required; you can just hit "Submit Request."

Schedule/Shift Swaps

You are able to switch shifts with another agent if needed. Schedule swaps must be for the same week, and cannot cause anyone to go into overtime. You are responsible for finding someone to switch with you. You must email the person directly and not the Rock Star distribution. 

ALL schedule swaps MUST be approved by a supervisor in advance. You are allowed to “give away” a shift as long as it doesn’t put the other agent in overtime.

Availability Changes

Body of Email: Ask for a new availability form. 

Note: An availability form MUST be filled out in order for any changes to take effect. Changes to availability are subject to the same deadline as schedule requests (Sunday at NOON for the upcoming schedule.) 

To be considered for Full-time, an employee must have and maintain open availability. Benefits are NOT available for Part-time employees. Severely limiting your availability may exclude you from being eligible for employment. 

Bonus/Wage Increases
